Why connect Eduka and WCBS?
WCBS is a finance and accounting system used by many independent and international schools, especially in the UK and across British-curriculum schools worldwide. Without an integration, finance teams re-enter every invoice and receipt into WCBS by hand — slow, error-prone, and hard to keep VAT-correct. Eduka’s built-in WCBS export turns school billing into structured, VAT-aware accounting entries that import straight into your ledger.
How does the integration work?
WCBS is selected as your accounting format in Eduka’s Finance module. From then on, the accounting export screen produces WCBS-format files: pick a date range and billing year, download, import. Each exported batch can be archived in Eduka, so the same entry is never posted to WCBS twice.
What data is exported?
- Invoices and credit notes — one line per fee, with the account code, department, fiscal year and period, the value, and references carrying the student code, payer name and an “EDUKA” source tag.
- VAT — each line carries its VAT value and VAT code (standard-rated, zero-rated, or customer-account) with the VAT type, so your WCBS VAT reporting stays correct.
- Payments and receipts — collection entries with their posting date and bank reference, ready to reconcile.
- Tidy, aggregated output — lines are grouped by student, document and account, so the export mirrors how WCBS expects to receive them.
