Microsoft Dynamics GP is a robust ERP used by many organisations, including international schools and school groups. Re-entering school billing into an ERP by hand is slow, error-prone and impossible to reconcile at scale. Eduka’s Dynamics GP integration goes further than a simple export: it maintains a complete set of GP import files and can deliver them to your import server automatically, without anyone touching a keyboard.

How does the integration work?

Once Dynamics GP (Professional Advantage) is selected as the accounting format in Eduka’s Finance module, a dedicated Dynamics GP screen appears, showing at a glance how many payer records, invoices and payments are awaiting export. From there, files are generated in the format expected by Dynamics GP’s import tooling and either downloaded manually or pushed by SFTP to your GP server on a configurable schedule — each file type on its own frequency, with the last run’s time and result always visible. Batch numbering and per-record archive flags guarantee that every entry reaches GP exactly once, never twice.

What data is exchanged?

• Payer accounts — a customer master file keeps GP’s customer records aligned with Eduka’s payer database.
• Invoices and credit notes — finalised invoices, credit notes and confirmed refunds.
• Payments received — collections, ready to post.
• Payment application (RM Apply) — which invoices each payment settles, so GP’s Receivables Management applies payments automatically.
• Bank reconciliation — entries for GP’s bank-rec module.
• EFT refunds — a refund file built from each payer’s direct-debit settings.
