Eduka connects to Xero two ways: generate Xero-ready journal files, or let Eduka push your school’s invoices and payments directly into Xero through the Xero API — automatically, with no file handling at all.

Why connect Eduka and Xero?

Xero is one of the world’s most popular cloud accounting platforms, widely adopted by international schools. Without an integration, finance teams re-key every invoice and receipt into Xero by hand. Eduka removes that entirely: school billing becomes accounting entries in Xero on their own, duplicate-safe, and traceable back to the source document.

How does the Xero integration work?

Xero is selected as the accounting format in Eduka’s Finance module. From there, two options. The accounting export screen produces Xero-format journal files — one line per entry, with the account code, amount and description, aggregated per document. Or connect Eduka to your Xero organisation over a secure OAuth2 link: a scheduled job then sends pending entries to Xero as manual journals, as often as every fifteen minutes. Before sending anything, Eduka reads the journals already present in Xero and skips any document already posted or drafted — the same entry can never arrive twice.

What lands in Xero?

• Invoices and credit notes — journal lines per fee item, with the account codes from your chart-of-accounts mapping.
• Payments received — collections with their payment-method codes (transfer, direct debit, card, online…).
• Tracking categories — every journal is tagged by School, and invoicing lines by Department, so Xero reports can be segmented the way your school actually runs.
• A link back to the source — each journal created through the API receives a history note with a direct link to the corresponding invoice or receipt in Eduka. Auditors love it.

Built for school finance teams

The Xero integration is part of Eduka’s Finance module, which manages the full billing cycle for schools: fee schedules, invoicing, payments, reminders and reporting. Xero is one of many accounting packages Eduka supports natively — alongside QuickBooks, Sage, MYOB, Dynamics GP and others — so your school can keep its existing accounting setup.
