QuickBooks Desktop is one of the world’s most widely used accounting packages, including among international schools. Eduka’s built-in QuickBooks export turns school billing into import-ready accounting entries, so your ledger always matches your billing system.
How does the Quickbooks integration work?
QuickBooks Desktop is selected once as your accounting format in Eduka’s Finance module. From then on, the accounting export screen produces structured files designed for QuickBooks Desktop’s import tooling (Transaction Pro Importer). Pick a date range and billing year, download, import — done. Each exported batch can be archived in Eduka, guaranteeing the same entry is never posted to QuickBooks twice.
What data is exported?
- Invoices and credit notes — one line per fee item, with the invoice number, transaction date, payer and student codes, the fee and school year, the amount, and the correct receivables account. Discounts and deductions are exported as their own lines, and the payer’s tax identification number is carried in the memo field.
- Payments and receipts — receipt number, payment date and method, amount, the bank account to deposit to, and the invoice numbers each payment settles, so QuickBooks can apply payments to the right invoices automatically.
Accurate mapping to your chart of accounts
Account numbers aren’t guessed: each fee type and each bank in Eduka is mapped to your QuickBooks chart of accounts (receivables and deposit accounts). Multi-currency schools export amounts in the school’s main accounting currency.

The QuickBooks integration is part of Eduka’s Finance module, which manages the full billing cycle for schools: fee schedules, invoicing, payments, reminders and reporting.
